Terms and Conditions of Sale
These terms describe the advertising, event promotion and registration services offered on Hantes.
1. Operator, services and applicable terms
For questions about these terms, you can write to contact@hantes.be. The full identity and contact details of the seller of the service must be provided in its offer before any order is placed.
Hantes sells the advertising and boosts described in Part A. For registrations in Part B, the organiser identified in the offer sells participation in its event. Hantes provides the organiser with a technical booking and payment service under Part C. Stripe processes payments; it is not the event organiser.
These terms apply to orders and service contracts for which they are presented before acceptance. They do not change previous orders retroactively. Registrations made on an external website are governed by that seller’s terms, even when its event appears in the Hantes catalogue.
The specific conditions of the accepted offer or order summary define the service and take precedence over incompatible general clauses. Mandatory consumer rights remain applicable. A consumer is a natural person acting for purposes outside their professional activity; buying advertising does not automatically exclude that status. An association with legal personality is not a consumer merely because it is non-profit.
A. Advertising and boosts
This part governs visibility services purchased from Hantes. Each order specifies the service, dates, scope, price and any delivery commitments.
2. Visibility service
An advertising campaign covers the placements, period and geographical context stated in the offer. Geography refers to the search or browsing context purchased; it does not guarantee that each visitor lives or is physically present in that area. Extending the scope requires agreement on the service and its price.
A boost promotes an event relative to events without a boost that match the same search criteria. Several boosted events may appear: this is not an exclusive first position. The boost respects date, location and eligibility filters. Only actual event days included in the offer are charged; past days are never sold retroactively.
A boost does not guarantee any volume of impressions. For an advertising campaign, a volume of viewable impressions is contractual only if expressly stated in the accepted offer; in that case, the commitment remains due. Delivery depends on inventory, visits and visitor settings. A measured impression does not necessarily represent a unique visitor, and delivery is not guaranteed on every device or despite every blocker.
Hantes does not guarantee any number of registrations, sales or conversions. A lack of commercial results does not, by itself, establish that delivery failed to comply with the order.
3. Content, images and languages
The customer supplies accurate information, a working link and the necessary rights to images, trademarks and text. The visual, its language versions and the fallback image are agreed before delivery. A fallback image is not presented as a translation; no translation or creative work that has not been ordered is promised.
Hantes may request corrections or refuse to display content that is unlawful, misleading, infringes rights or is technically unusable. The reason is communicated to the customer. Labels identifying commercial communications remain visible; an advertisement is not an independent editorial recommendation.
If no acceptable content is agreed before the planned start, the unperformed service is refunded. It may be rescheduled with the customer’s express agreement. No postponement or additional creative fee is imposed without agreement.
4. Orders, prices and activation
Before committing, the customer receives the service description, dates, targeting, total price, applicable taxes and fees, cancellation terms and offer validity period. Duration, number of events, purchased tier or observed audience may be used to prepare a quote. They do not permit the price of an accepted order to be changed.
The contract is concluded by accepting the quote or confirming an order that clearly indicates an obligation to pay. The customer can check and correct their information before committing. A change to the service or price requires renewed acceptance; silence does not constitute agreement. Confirmation, the summary and the applicable terms are provided on a durable medium.
Prices shown to consumers include taxes and mandatory fees. For a professional customer, the quote distinguishes the amount excluding tax, taxes actually due and the total. These terms do not assume any VAT rate. Available payment methods and the due date are stated before ordering. Billing documents are issued under the requirements applicable to the sale, including structured electronic invoicing where required.
Delivery begins on the agreed date after payment verification and content acceptance. Hantes confirms activation. Payment does not guarantee immediate delivery, and visiting the payment return page is not sufficient proof of payment. If a delay jeopardises the purchased period, Hantes proposes a solution before changing it. A boost is not extended beyond the actual event dates.
5. Withdrawal from Hantes services
A consumer who concludes a distance contract for advertising, a boost or a ticketing service with Hantes generally has fourteen calendar days to withdraw without giving a reason. The period starts on the day after the contract is concluded. To meet the deadline, it is sufficient to send an unambiguous statement to Hantes before it expires, by email to the contact in Article 1 or by post to the seller’s address shown on the confirmation. The model at the end of these terms may be used but is not mandatory.
Advertising or a boost for a dated event remains a visibility service: the exception for certain dated leisure activities is not automatically applied to it. General acceptance of the terms or payment constitutes neither a request for early performance nor a waiver of the right of withdrawal.
If the consumer wants the service to begin before the fourteen days have ended, Hantes obtains their express request. If they withdraw before full performance, only the proportion of the service actually provided may remain payable when the legal requirements for information and an express request have been met. Loss of the right after full performance requires express consent to commencement and prior acknowledgement of that loss.
The statutory refund is made within fourteen days of notification, using the original payment method unless another method is expressly agreed at no cost. Extensions of the period and other protections applicable when information is missing remain in force. Statutory withdrawal methods, including an online function where required for the contract concerned, are available in addition to notification by email or post.
6. Cancellation, interruption and refunds for visibility services
The commercial rules below supplement statutory rights, which take precedence. The customer can request that their service be stopped by contacting Hantes with their order reference.
Any fees retained by the payment provider are not automatically deducted from a refund due to the customer. An extension, change of area or credit replaces a refund only with the customer’s agreement. A commercial refund is initiated no later than fourteen days after agreement on its amount, without extending any shorter statutory deadline.
- Before delivery begins: refund of the unperformed service. Separate creative work remains payable only if it was separately ordered, priced and performed, subject to withdrawal rights.
- After the start: delivery stops as soon as possible and the unperformed part is refunded according to the units in the quote, such as priced boost days or agreed campaign periods and units. No implicit flat-rate penalty is added.
- Cancelled or postponed event: the boost stops and days not provided are refunded. Any new period requires an accepted proposal; no credit is imposed.
- Incident attributable to Hantes or failure to deliver an expressly purchased volume: correction and, if the customer accepts, compensatory delivery compatible with the offer. Otherwise, the undelivered part is refunded.
- Service that has become permanently impossible: refund of the unperformed part. Any amount retained for a part already provided is justified.
B. Participant registration with the organiser
The organiser identified in the offer and confirmation sells the registration and provides the event. Before ordering, it states its name or legal name, professional or non-professional status, address, contact details and applicable legal identifiers. This part applies when the organiser has accepted it for sales through Hantes and it has been presented to the participant before purchase.
7. Registration offer, payment and confirmation
The offer describes the activity, location, dates or sessions covered, participation conditions, total price and cancellation rules. Age limits, prerequisites, essential equipment and significant restrictions are disclosed before purchase. For a multi-day event, the offer specifies whether the ticket covers one day, several sessions or the entire event.
The price includes taxes and mandatory fees. Optional extras are not preselected. No Hantes commission surcharge is added to the participant’s price. An accepted order is not repriced based on demand, payment method or a later price change.
The participant can check and correct their summary before paying. The final action clearly indicates the obligation to pay. The organiser provides confirmation on a durable medium including the seller’s identity, services, price and accepted terms.
A registration becomes final only after availability and allocation have been confirmed. If payment precedes that confirmation, the pending status is indicated. Where money has been collected but no place can be allocated, it is refunded in full; no alternative session is imposed. A free registration follows its own confirmation process without payment.
8. Withdrawal from a registration
The rules depend on the activity actually sold and the status of the parties. For a sale by a professional to a consumer, a leisure service provided on a specific date or during a specific period may fall within the statutory exception to the right of withdrawal. The organiser clearly states the applicable exception before ordering. A digital ticket, a date or the word “event” alone is not sufficient to exclude this right for every activity, particularly training.
Where no statutory exception applies to a distance service contract between a professional and a consumer, the fourteen-day period and the procedures in Article 5 apply with respect to the selling organiser. The statement and form are sent to its contact details shown on the confirmation. A request for early commencement and acknowledgement of the loss of the right after full performance must be obtained separately from general acceptance of the terms.
Any exception applicable to the participant’s registration is not extended to the separate Hantes service contract entered into by the organiser.
9. Cancellation or changes by the organiser
The organiser informs participants as soon as it becomes aware of a cancellation, postponement or change affecting their order. Internal Stripe or Hantes fees do not reduce a full refund due to the participant.
Not every programme change is necessarily material. The accepted offer, the main service and the extent of the change are considered. The solutions below do not limit statutory rights.
The organiser initiates refunds due within fourteen days of cancellation or the choice of a refund following postponement, without extending a shorter statutory deadline. Cash-flow difficulties or a lack of immediately available funds at Stripe do not extinguish the debt.
- Full cancellation: full refund of the amount paid for the cancelled service.
- Postponement: the participant chooses between keeping the registration for the new date and receiving a refund. Silence does not constitute acceptance, and no credit is imposed.
- Material change: prompt information and a choice between accepting the registration as changed and a refund corresponding to the affected service, taking account of the extent of the change and applicable rights.
- Partial cancellation after the start: identification of the services provided and the unperformed part, followed by a refund or another proportionate solution accepted by the participant.
10. Cancellation requested by the participant
In addition to statutory rights, the participant may cancel for a full refund by sending their request to the organiser no later than 11:59 pm, in the event’s local time, on the seventh calendar day before the activity’s start date. The organiser may offer a more favourable policy, disclosed before ordering.
After this deadline, where no statutory right to a refund applies, voluntary non-attendance does not entitle the participant to an automatic refund. A substitute participant may be allowed at no charge if the entry conditions permit it. Mandatory protections relating to withdrawal, non-performance or event cancellation take precedence. No new restriction is added after purchase.
C. Hantes service provided to the organiser
This part governs the technical ticketing service provided by Hantes to the organiser. Its acceptance by the organiser is separate from the purchase of a registration by a participant.
11. Commission and payment fees
The launch rate is capped at 1% of the registration amount collected in an order, including any taxes due on that commission, with no fixed fee per ticket or ticketing subscription. The basis is the total amount actually paid after discounts. Commission is calculated once per order and rounded down to the nearest cent. A free registration generates no commission.
Stripe payment fees are borne by the organiser in addition to Hantes commission. They depend on its contract, account and the payment method. The organiser remains responsible for the tax treatment of its tickets; these terms do not assume any VAT rate.
For a €20 order, Hantes commission is at most €0.20, including any applicable taxes, and the organiser’s balance is €19.80 before the Stripe fees actually applicable. The participant is not charged extra for this commission.
The organiser authorises deduction of commission from the payments concerned. The rate, amount and conditions are fixed for each order. A future price change is announced before the new orders to which it applies and has no retroactive effect. Advertising and boosts are separate purchases.
12. Payment account, payouts and refunds
Payments are created directly for the organiser’s connected Stripe account, with collection of Stripe fees and Hantes commission. The organiser completes the identity checks requested by Stripe and keeps its details up to date. It does not use another seller’s account to bypass identification.
Payout schedules, checks, reserves and account restrictions are governed by the organiser’s Stripe contract. Hantes guarantees neither immediate payouts nor the absence of checks. Refunds, disputes and fees follow the responsibilities of that account and the applicable contracts without removing participant rights.
When a registration is refunded, Hantes returns its commission in proportion to the refunded amount and makes the necessary accounting corrections. Payment fees retained by Stripe remain the organiser’s responsibility; they do not reduce a full refund due to the participant. Refunding the payment and correcting billing documents are separate operations.
13. Obligations and service continuity
The organiser provides an accurate offer, holds the necessary authorisations, respects the announced capacity and conditions, and hosts or provides the service sold. It responds to participants and promptly reports any cancellation or change affecting their rights.
Hantes fulfils the obligations of its own service. It may suspend new sales where an offer is manifestly unlawful, identity details are inconsistent or payment restrictions apply. The measure is proportionate and communicated to the organiser, subject to legal obligations. It does not remove the need to follow up paid orders, process confirmations or pay refunds due.
Data needed for booking, payment and follow-up are processed under the privacy information presented by Hantes and the organiser. Collection does not constitute general permission for marketing.
14. Complaints, mediation and applicable law
For advertising, a boost or a service provided by Hantes, the customer writes to contact@hantes.be with their reference and the facts observed. For a registration, they first contact the organiser shown on their confirmation. Hantes can also be contacted about an interface problem and directs the request to the relevant seller. Hantes provides an initial response within five business days. Prompt reporting is helpful, but no contractual deadline causes rights to be forfeited.
After first complaining to the professional concerned, the consumer may contact the Consumer Mediation Service where it has jurisdiction, through mediationconsommateur.be. This option does not deprive the customer of the right to bring a court action.
Hantes services are governed by Belgian law without depriving consumers of mandatory protections available in their country of residence. The competent courts are determined by law; no exclusive jurisdiction unfavourable to the consumer is imposed. The organiser specifies the law applicable to its sale where necessary, without excluding the participant’s mandatory protections.
No clause in these terms excludes mandatory statutory liability or guarantees. Statutory rights to have a service brought into conformity, a price reduction, termination or a refund remain applicable according to the contract concerned. An unenforceable clause does not exclude other provisions that may lawfully remain in force.
15. Model withdrawal statement
This model may be copied and completed only if you wish to withdraw from a contract for which that right exists. Another clear statement is sufficient. For a registration sold by an organiser, replace the recipient with the one shown on your confirmation.
